Processes and procedures are defined for all operational activities in the organisation. These are stored in our Quality Assurance System.

A range of assesSMEsnt and measuring tools and strategies are employed to ensure constant and meaningful evaluation of processes and procedures is implemented.

Quality Control Systems

ISO9002 Certification

The management of procedures and processes is audited via the ISO9002 Certification. An annual audit is undertaken, which forms the basis of certification renewal from year to year.

Continual Improvement Systems
The company’s own Continual Improvement system ensures that procedures and processes are followed. It is used to record any events that do not conform to the defined procedures. This tool is used to create new procedures or change existing procedures.

Internal Checks

A range of comprehensive internal checks is made on various aspects of quality control throughout the operations of Forms Express.

Receipt of Data, Security and Confirmations

Secure Receipt of Data with SSL 128 bit encryption

Express Promotions uses (Secure Socket Layer) SSL128bit encryption, which provides endpoint authentication and communications privacy over the Internet using cryptography. The protocols allow client/server applications to communicate in a way designed to prevent eavesdropping, tampering and message forgery.

A digital certificate is provided by one of many Certification Authorities. The company uses Thwate ™ for its SSL128 bit encryption.

Fast Receipt of Data with 2mb/sec connection

Forms Express uses commercial duplex 2megabit/sec connection into the Internet which allows for downloads of 2mb/s and upload speeds of 2mb/s.

Secure IT and Production Area – Keyless Security

The company’s IT area is secure and access is only available to staff with the necessary security level. The secure areas are the Research and Development Area (IT) and the Outsourcing Production area. They are secured with keyless locking devices with recordable personal keys.

The Outsourcing Production area consists of an area where the regular data programmers process customer’s data through our processing engine and also an area in which both the laser printers and inserters are positioned. A log is maintained of all entries and exits made in to and out of the secure areas.

Secure Data/Disaster Recovery

All data storage is secure with duplicate servers held offsite in secure premises with smoke detectors, fire prevention equipment, security access, power backup with both battery and generator, and temperature monitoring.

A disaster recovery plan exists in the company’s QA system. The plan allows for the protection of customers’ data, and all company systems, in the event of a disaster, and enables the company to continue providing services.

Data Disposal

Only four weeks worth of data backups are kept, unless otherwise requested. Thus within four weeks of termination, all customer data will be completely removed from the company’s systems unless a data archiving service is being provided.

Disposal of Waste and Samples

All disposals of waste and samples are carried out through a system of security bins where printed media is destroyed before being taken off the premises. Such disposal is also mandated for the cheque printing area.
